Auto-Apply Only Works If Your Price Fits the Customer's Budget

Auto-apply only works if your price fits the customer’s budget

Meta: Auto-apply sends catering proposals for you. It does not fix a price set too high. How to set and check your auto-apply pricing so it actually books.

Auto-apply is the Best Food Trucks feature that submits your catering proposal automatically whenever a request matches your truck. You set a price once, and every matching request gets a proposal at that price within minutes, without you touching anything. We build the menu based on the parts (entree/side/dessert/drink) that you individually set yourself. You can have up to three menus to have three pricing tiers. Customers love options, so skipping the extra tiers costs you money in the long run.

Why your auto-apply proposals are not getting picked

In my experience the pattern looks like this. A truck turns on auto-apply, picks a number on the high side to be safe, and moves on. They don't use the three tier option and their one tier is very high. Proposals go out. Invites keep arriving. It feels like the thing is working. Then weeks go by and nothing books, and the truck concludes the platform is dead.

The platform is not dead. The price is wrong for the request, and nobody told the truck, because customers do not explain why they passed. They just book the next truck.

What the customer actually sees

A customer who enters a budget expects proposals somewhere near it. When the first few come back well above that number, they do not open a negotiation. They scroll. And if enough of them are high, they leave BFT entirely, which hurts every truck on the platform, including the ones priced correctly.

I have also seen customers get confused when a budget they set as a floor comes back as a much bigger bill. One high proposal can make them distrust the whole list.

You are not only competing with other trucks

The customer’s budget was built before they got to you. It came from what the local caterer quoted, what another platform showed them, what they spent last year. Your price gets judged against those, not just against other food trucks.

How to check your auto-apply pricing in five minutes

  1. Open your auto-apply settings and look at the number. Can you say why you picked it? If the answer is “I don’t remember,” that is your first clue.

  2. Pull up your last 20 proposals and count how many the customer chose.

  3. If you are sending a lot and winning almost none, question the price before you question your menu, your photos, or your description. Price is the thing customers filter on first.

  4. Compare your price to the budget on the invite, not to your own average event.

  5. Move it toward the budget range and watch the next 10 to 20 proposals. Give it enough volume to tell you something.

When a higher price is fine

Dessert trucks, coffee carts, and specialty operators regularly close above a meal budget, because the customer is adding a treat rather than replacing lunch. If that is you and you are winning at your current price, leave it alone.

This check is for the truck sending 40 proposals a month and booking one of them.

Set it, then keep checking it

Auto-apply is supposed to save you time on bookings you can actually win. It is not supposed to generate a pile of proposals that were never going to close. Set the price for the job, look at it every few weeks, and be honest about whether the number you chose is the reason you are not hearing back.

Frequently asked questions

Does auto-apply pick the price for me?
No. Auto-apply sends the price you set in your settings. It does not adjust for the customer’s budget, event size, or location unless you change it.

How often should I review my auto-apply price?
Every few weeks, or any time you notice a run of proposals with no bookings. Twenty proposals is enough to see a pattern.

Can I set a different auto-apply price for different kinds of events?
Check your current settings in the truck dashboard. You can set three tiers of pricing. Your pricing is built on your meal parts (entree/side/dessert/drink)
